MINUTES FOR MEETING HELD ON 11TH OF MAY 2010 TO DISCUSS REGISTRATION OF MAP KIBERA AS A TRUST.

2. The Lawyer
The members were given a report on the lawyer that is meant to assist Map Kibera with registration as a trust by Douglas Namale.

The entire process of registration will require a total of Kenya Shillings 32,000(Thirty two thousand) while the lawyer’s fee will be Kenya Shillings 8,000(eight thousand), the whole amount totalling to Kenya Shillings 40,000(Forty thousand).
Philip suggested lowering of the charges by the lawyer.
One member requested if it was possible to meet the lawyer as members so that we can know him better.
Actions:
Douglas to speak to the lawyer regarding reducing costs
Douglas to set up meeting between members and the lawyer
Members to come up with a checklist of criteria to be used in selecting the members of the Board of trustees and secretariat.
2. Selection of trustees
The members were requested to come to the next meeting with a list of individuals they would like to be in the Board of trustees. It was also suggested that since not everyone can be in the Board of trustees, there can be a number of structures for example Friends if Kibera, Advisory Board, etc, putting into consideration the competencies like networking, funding, etc.
Memebers were advised to be cautious about selecting individuals who will bring about conflict of interest, also they will need to ensure that Map Kibera is a Kibera process. In this case, some qualities would have to be ignored.
Philip to bring financial, H.R and partnership policies for SODNET to the next meeting to assist in the process.
Actions:
Philip to send to the members HR, partnership and financial policies by the next meeting.
3. Developing the constitution
Members were given samples of constitutions by Philip to go and study them so as to kickstart discussion of the Map Kibera constitution in the next meeting.Douglas promised to send to the members a sample of the constitution for the Construction Brigade.
Actions:
Douglas to send to the members a copy of the Construction Brigade Constitution.

The Map Kibera constitution
4. The meeting adjourned at 2 pm and it was suggested that the next meeting be held on the 17th of May 2010, 1 pm at KCODA.
